How to Use the Events Calendar


Philadelphia University's calendar of events at http://Events.PhilaU.edu is the best way to keep track of happenings on campus from academic calendars to athletics events and students' clubs and organization meetings.

Although all PhilaU students, faculty and staff can automatically login using their University credentials, permissions have to be granted to those who wish to add and edit events to the Events Calendar.

Events Calendar on Multiple Devices

CALENDAR PERMISSIONS

Anyone with a PhilaU email account who has logged in to the calendar at least once can edit and add events based upon permissions set by the University's calendar manager.

To request permissions, email EventsCalendar@PhilaU.edu using the subject line "permissions" and the department, program, club or organization for which you wish to post included in the body of the message. Remember to have logged in to the calendar at least once in order for your permissions to be set. Someone from the Marketing and Public Relations office will contact you within three business days to confirm or deny your request.

For events which require pre-registration and/or ticketing, the University’s Eventbrite account may be utilized. Should you require access to Eventbrite for these purposes, please follow the instructions in the paragraph above, using “Eventbrite Permissions” as your subject line.

HOW TO ADD AND EDIT EVENTS

Once permissions are granted and the user is logged in, an "Admin" button will appear in place of the "Login" button. Upon clicking the “Admin” option, users will be directed to the administration dashboard.

After watching both videos, those with the proper permissions should find it easy to add or edit events. 

EVENTBRITE INTEGRATION

In some instances, event attendance/registration will be managed through the University’s Eventbrite account. Events created in Eventbrite are automatically duplicated to the Events Calendar (although not set live unless requested), eliminating the need for you to re-create the event on the calendar. To take advantage of this time-saving feature, please follow the steps below:

  • Events must FIRST be created in Eventbrite. Events initially created in the PhilaU Events Calendar CAN NOT be automatically duplicated to Eventbrite. Please note, Eventbrite access must be granted to users before they may create events. Should you require access, refer to the instructions in the Calendar Permissions section above.
  • Once the Eventbrite has been created, contact EventsCalendar@PhilaU.edu, using the name of your event as the subject line and including the Eventbrite URL and any special instructions for your event (i.e. if it’s a Public or Private event) in the body of the email.
  • Upon receipt of your notification, a Calendar Manager will review your event, add a registration button to send users to the Eventbrite page, push the event live on the Events Calendar and notify you that your request is complete.

Please note that any future edits made in Eventbrite will automatically update to the Events Calendar, but may take up to 24 hours to become visible. Should these edits need to be visible immediately, you will need to make the change on the Events Calendar manually.
